About Job

Responsibilities; Carry out basic administration tasks. Assist in carrying out various company procedures for all company employees Greet visitors and direct them to the appropriate person in office Offer tea/coffee/water to the guests and clear and organize the crockery etc back in place Supervise and ensure cleaning agent’s timely and proper cleaning of the office as per the contract schedules. Ensure basic dusting and cleanliness of the office and its equipment/appliances other than cleaning agent’s schedules. Answer, screen and forward incoming phone calls Make phone calls relevant to the office administration tasks Organize, order, and maintain office supplies and assets. Make sure the office is always clean and well organized. Compile reports and records from all branches and submit regularly as per instructions Assist managers in recruitment formalities Prepare and keep relevant record-keeping documents updated and verified Maintain office security by following safety procedures and controlling access Monitor and review inventory of office supplies and the purchases of all branches with attention to budgetary constraints Coordinate with various departments and branches for relevant HR or administrative tasks. Update calendars and schedule meetings Prepare, accept, and distribute mailings and couriers. Coordinate and supervise maintenance contractors or any other official services execution and completion. Assist in arranging travel and accommodations, and prepare vouchers as per instructions Follow up closely with all the branch record keeping documents and relevant tasks Assist and maintain all branches databases, spreadsheets, and reports and prepare documents as required. Assist in keeping basic records of office expenses and costs Assist and coordinate in basic HR tasks Assist in organizing a filing system for important and confidential company documents for relevant seniors Regular filing, photocopying, transcribing etc. Update and monitor attendance system Monitor leave applications, poor attendance, MC verification, and other relevant tasks Assist in reviewing quotations and negotiating price, quality, and delivery. Responsible for effectively managing Front Office functions, office communications and administrative support. Implementing organized and policy compliance work atmosphere and procedures in the organization. Manage and participate company-sponsored events Perform other related duties as required

Requirements
  1. Previous work experience in front office admin and HR department is a plus but Freshers are also welcome. Basic knowledge in Microsoft Office Must have basic computer operations knowledge Manage and handle multiple tasks with time management Manage the work under work pressure Hands-on experience with office equipment (e.g. printers) Professional attitude and appearance Good written and verbal communication skills in Englishlanguage Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and able to work under pressure. time-management skills with the ability to prioritize tasks and meeting deadlines Quick responsiveness towards official communications via email or phone after work hours if required.
